Information for Exhibitors

The NIH Graduate and Professional School Fair is scheduled for Wednesday, July 17, 2019 from 8:45 am to 2:45 pm on the NIH campus in Bethesda, Maryland. Exhibit hours will be from 9:45 am to 1:45 pm.  We look forward to a successful event and especially meeting all of you face to face!

Registration for the 2019 NIH Graduate & Professional School Fair closed on April 30th.  It is no longer possible for us to accommodate additional institutions.

Natcher Conference Center, Building 45, is part of the NIH and is located on the NIH campus in Bethesda, approximately 5 miles from Washington, DC.

One table and several chairs will be provided. NIH Guest Network WiFi will be available at no cost. Please note, however, that connections may be slow due to high demand. No electricity will be available at the table.  Space is limited. Please do not bring large booths or tabletop exhibits.  You will want to keep the space free for interacting with our trainees.  We estimate that as many as 1000 trainees will attend.

Please NOTE: most exhibitors will be sharing tables with other exhibitors from their institution or another; in fact, each year we have an overwhelming response, and table-sharing has become the norm.  The floor plan will be available on the day of the event during exhibitor check-in.

Additional Note:  we appreciate your comments from recent years about the layout of this event; regulations continue to prevent us from even considering other space. Our only options are to cancel the entire event or work with the exhibitor space that is available on the NIH campus.  We understand the space is not ideal.  Every year we rotate schools' table assignments with the aim of sharing access to the "best" tables fairly.  Please keep this in mind when deciding whether or not to participate in 2019.

Security Procedures for Entering the NIH Campus

Visitor Information:
If you are not an NIH employee, please allow sufficient time for security screening prior to entering the campus.

All visitors must enter the NIH campus through the NIH Gateway Center, located adjacent to the Medical Center Metro Station at the South Drive entrance to campus from Rockville Pike / Wisconsin Avenue (Route 355). You will be asked to submit to a vehicle or personal inspection. Visitors will be required to show one (1) form of identification (a government-issued photo ID-driver's license, passport, green card, etc.) and to state the purpose of their visit. The Gateway Center is within close proximity to the Natcher Conference Center. Click here to view a map of the NIH campus.


For individuals arriving as pedestrians, the Gateway Center (Building 66) is open 24 hours a day, 7 days a week, capable of handling single individuals to large busloads of visitors, quickly and efficiently.


For visitors arriving in vehicles, on motorcycles or bicycles, the Gateway Vehicle Inspection Station (Building 66A), provides multiple inspection lanes and allows visitors to go through inspection and get a visitor badge in one centralized, efficient process. Vehicles enter the Gateway Center complex through a new roadway, "NIH Gateway Drive," just south of the intersection of the previous visitor entrance at South Drive and Rockville Pike. Vehicles that choose to bypass parking in MLP-11 will go through inspection and enter campus at Center Drive. (See Gateway Map.)

Gateway Center Vehicle Inspection (Building 66A):
Monday - Friday, 5 am - 10 pm
Taxies may enter campus via the Gateway Center Vehicle Inspection Facility.


Please note: Visitor parking is limited at NIH. Visitors are encouraged to use public transportation such as the Metrorail subway system which has a convenient stop (Medical Center) on the NIH campus. Visit the Metro site for information on fares and schedules.

The Gateway complex also includes MLP-11, a 342-space, multi-level underground parking garage. This "visitor-only" lot is the primary visitor parking for the NIH main campus. We strongly encourage all visitors to park in this garage as visitor parking elsewhere on campus is limited. Vehicles parking in MLP-11 are outside of the perimeter security and will not go through vehicle inspection, reducing the amount of time it takes to get on campus. The cost to park in MLP-11 is $2 per hour for the first three hours, $12 maximum for the entire day.

Visitors parking in MLP-11 should proceed to the Gateway Center to get a visitor badge and either walk or take a shuttle bus to their destination. The NIH "limited" campus shuttle is the fastest shuttle to Natcher Conference Center.  View the shuttle schedule and route.


You may ship materials to the Natcher Conference Center for the fair. You must include your table number on your shipment.  Storage space is very limited, so deliveries for the event will only be accepted on weekdays from Thursday, July 11 until Tuesday, July 16, 2019 at the following address:

Please remember to include your assigned Table # on the shipping label.   For security reasons, it is no longer possible to ship exhibit materials back to you at the conclusion of the event.  Please plan accordingly.  Any items left behind will be disposed of.


Hotels in Bethesda are convenient to the NIH.  Rockville is also a convenient nearby location.
