Program Coordinator - Department of Biochemistry

Position Description:

The Program Coordinator supports the academic, instructional, student life, admissions and administrative aspects of the graduate programs within the Department of Biochemistry.  The Program Coordinator is responsible for the coordination of approximately 75 graduate students for MS in Biochemistry and Molecular Biology and MS in Biochemistry and Molecular Biology, Bioinformatics programs.  The responsibilities for this position include assisting with recruitment; admissions, monitoring the academic progress of all graduate students in the programs listed above, monitoring merit-based aid, alumni and career services outreach efforts, program administration including faculty and program support, and organizing special events for program purposes.


  • Advise all graduate students, faculty and staff on Graduate School and University on academic policies and procedures.
  • Review and make a determination on all graduate student pre-registration requests.
  • Intake and review student. forms, such as leave of absence and add/drop slips, for completeness and accuracy.
  • Monitor and coordinate the submission of all reported grades for these programs.
  • Review student transcripts for accuracy.
  • Organize department program specific academic and graduation events.
  • Prepare academic reports from Cognos and other sources as required including but not limited to
  • Registered Student Listings, General Student Listings, Course Rosters, and Exception Grade Reports.
  • Generate academic reports for Program Directors and the Department Chair as requested.
  • Monitor and work closely with Office of Global Services to ensure that the program complies with all federal government policies for international students.
  • Review application credentials for completeness, GPA/TOEFL/GRE requirements, and verify transcripts.
  • Communicate with applicants to verify continued interest in program of interest and follow-up to request missing credentials.
  • Assist with other Admissions related duties including, conducting applicant reviews, distributing applications, data entry of decisions, marketing graduate programs, etc.
  • Assist with outreach efforts, including in areas like career services, resume and cover letter advise, alumni services, internships, alumni events. etc.
  • Program administration duties including maintaining websites, reviewing/distributing course schedules, acting as faculty support, distributing faculty evaluations, arranging travel itineraries, etc.
  • Other duties as assigned.


  • Bachelor's degree; Master's degree in relevant field preferred (higher education administration, biomedical science, etc.)
  • 2-4 years of academic administration experience, preferably in the biomedical sciences field
  • Ability to work and think independently on all areas of responsibility and have the ability to problem solve, while being under the supervision of the DGS
  • Microsoft Excel, PowerPoint and Word proficiency
  • Ability to use Banner; Cognos, Courseleaf, Degree Audit and web page maintenance systems preferred
  • Excellent organizational skills are required; including the ability to coordinate multiple tasks concurrently
  • Excellent interpersonal skills required with the ability to communicate effectively and interact with staff, faculty, and students.  Will have heavy load of interactions in person, by email and by phone with individual prospective and current students, individual program coordinators, BGE staff, Medical Center faculty, Graduate School of Arts and Sciences, Office of the Registrar, Office of International Programs and alumni
  • Attention to detail and ability to maintain confidentiality of data and information required
  • Excellent customer service to faculty and students and other constituents
