FAQS for NIH Program Coordinators

How can I find out what the summer stipends will be?
The Scientific Directors generally approve new stipends in March to take effect the following May.  The summer stipends are published in Appendix 5 of the IRTA Manual Chapter.

Where can I find the most reliable information regarding details of the Summer Internship Program?
The rules and regulations governing SIP are spelled out in the IRTA Manual Chapter.

Can my summer interns make use of the OITE Career Services Center?
Absolutely!  They are welcome to make appointments with our career counselors and check books out of the OITE Career Library, which is located on the second floor of Building 2.

I get a lot of calls from PIs and other staff who need help with their accounts on the OITE application system.  Why me? And what am I supposed to do?
We ask the Program Coordinators to take responsibility for accounts on the application system because they are probably the biggest and most skillful system users.  Also, you are on top of what's going on in your IC and are more likely to know who should be authorized to have an account and who should not.  You should discuss with your SD or Training Director who should have access to the system.

When you get a request for an account, the first thing to do is check to see if the individual already has an account.  It is common for PIs to forget that a separate password is required for the application systems.  If you find that an account already exists, all you need to do is open the record, click on the "Reminder" box that allows you to resend login credentials, and "submit".  If no account exists, return to the search screen and "Add new user".

What should I do if I cannot locate an application?
First, widen the search.  Set the "Status" field to "All applications" so that your search will include "Accepted" and "Withdrawn" applications.  Finally, make the search "Beginning date" earlier by a year.  If you are still unable to find the application when you do a "Last name" search, try searching using the putative applicant's e-mail address.  To do this, use the "Field Specific Search" option.

What should I do if an applicant lets me know he/she is no longer interested in coming to the NIH?
Please withdraw the application.

What should I do if an applicant asks to change a reference?
If the reference has already submitted a letter, it is not possible to make a change.  If no letter has been submitted, the applicant can use the credentials included in his/her application receipt confirmation e-mail to modify the application to include a new reference.  Please ask the applicant to let the first reference know that his/her letter will no longer be needed.

My child (or niece or neighbor's child) has applied to one of the intramural training programs.  Is there anything wrong with my taking a look at the application?
Accessing the application would be an unauthorized use of the online application system unless the action is required for the performance of your official duties.
